How do I take attendance?

Group bookings require the management of many customers at once. With multiple pets coming and going, it is helpful to be able to track which of the registered pets has arrived for their booking. BusyPaws allows you and your team to easily take attendance and even track your overall attendance over time.

The attendance reporting is currently available for group bookings only. Pets can be checked in and out of individual service bookings, however that information is not included in your overall attendance report.

Taking Attendance

Attendance is managed for group bookings by team members checking dogs in and out. From the booking's main information page, open the "Attendance" tab. This tab includes the full list of clients registered for your selected booking.

On this tab, you'll notice that each pet's registration has a large, grey button with a dog icon on it.

Selecting this button checks the associated pet in, marking them as present for the booking. Clicking that same button again checks the pet out, indicating they have gone home (useful for daycare bookings). Finally, clicking the button a third time resets it to its initial, absent/neutral status. This allows you to reset any status if you accidentally check the wrong pet in.

You can also easily check dogs in and out by selecting "Quick Check-in / Add-ons" at the top of any Schedule view.

This will open Quick Check-in & Add-ons page. This page includes information on all pets registered for bookings on the listed date as well as any add-ons selected for registered pets. Each pet in the "Check-On Dogs" section will be listed with its name, some information on its booking, and a check-in/out button. Use the date selector at the top of the page to see information for another date.

Tracking Your Attendance

It can be very helpful to track not only the registrations for your group services, but the attendance of registered clients as well. Regularly checking clients into your group bookings can help give insight into how well attended your bookings are, and how those numbers change over time.

There are two ways to check your overall attendance records:

The Attendance Report

To locate your Attendance Report, start by clicking or hovering your mouse over the "Reports" icon in the left-hand menu bar, then select "Attendance".

This page displays attendance reports for all of your group bookings. Each booking listed will include the service name, scheduled date, start and end time, price, provider, and location. Listed bookings also include total counts for clients that were checked in, checked out, and no show (i.e. not checked in), as well as the total pets registered. This information is followed by specific information about the registered clients, including the pet names, client names, payment status, check-in date/time, checkout date/time, whether or not they self-booked, and the date/time of registration.

Use the filters at the right-hand side of the page to control the bookings listed.

Click the "Month to Date" field open a drop-down menu with default date range options. These options include "Today", "Last 7 Days", "Last 4 Weeks", "Last 3 Months", "Last 12 Months", "Month to Date", "Quarter to Date", "Year to Date", and "All Time".

Click the calendar icon to open a drop-down calendar, allowing you to select any date range needed.

If you have more than one facility set up on your account, use the "Facilities" drop-down to control whether the report includes all facilities, or one specific facility.

Attendance Data Export

Should you wish to be able to export your attendance data for further manipulation, you can do so from the Data Exports page. Start by clicking or hovering your mouse over the "Reports" icon in the left-hand menu bar, then select "Data Export".

This will open your Data Export page. To generate an export, click the "New Export" button.

Set the "Export Type" to "Attendance Report", then use the "From" and "To" fields to choose the date range over which you want to collect data. Once you've made your selections, click the "Export" button to begin the export.

The system will then generate the export for you. This can take a few minutes, depending on the amount of data included in the export. While the system is processing the export, it will display with a yellow "Preparing export" label.

When the export is ready, it will display with a purple "Download" button. Note that you will need to refresh the page or navigate away and back again to see the updated status of your export.

Click the "Download" button to download a copy of the CSV file. You can then use your preferred spreadsheet software to view and manipulate the data.
