Viewing Bookings on Your Calendar

Take a closer look at your main Schedule page. Explore ways to further customize how your team sees the bookings on your calendar.

Once bookings have been added to your calendar, the way they display on your schedule communicates a few basic things about them. In this guide we will take a look at what kind of information is displayed on the main Schedule page of your BusyPaws account, and how you can customize certain aspects to suit the needs of your team.

This article explores the user-facing calendar (i.e. the calendar as viewed by you and your team), not the Public Calendar seen by your clients.


Calendar Basics

You can get to your main calendar views from any page of your BusyPaws account by using the "Schedule" icon in the left-hand menu bar.

Hovering your mouse over this icon opens a menu with four display options. These options include Calendar, Boarding & Daycare, Resource Calendar, and Booking List.

Regardless of the view, click on any displayed/listed booking to open that booking's information page.

Calendar

The main Calendar view includes an overview of all bookings scheduled on your calendar. Use the calendar format selector at the top-right of the page to adjust the view to month, week, or day.

Use the "Filter" button to access filter options for the calendar. Clicking this button populates four fields that can be used to view bookings for a specific facility/location, person/pet, service/series, or booking status/service category.

Clicking the pink filter icon beside the status/category field opens a drop-down menu with toggles controlling whether or not blocked times and cancelled bookings are displayed.

When seen from the month-view, each booking will be listed with a coloured dot. Days with more than two or three bookings will include a "# more" option in the top-right corner of the calendar square. Selecting that message will open a pop-up with full list of bookings for the day.

When seen from the week or day-view, bookings will display as a coloured rectangle spanning vertically between their start and end times on their assigned day.

Note that boarding bookings are slightly different and will always display as a bar spanning from the booking start date to its end date when viewed on the main schedule.

If you have a lot of boarding bookings, the main calendar may not have space to display them all. For the most detailed view of boarding bookings, see your Boarding & Daycare calendar view.

The information displayed for a booking will always be the same, regardless of whether you are viewing your schedule on the month, week, or day-view. Group bookings will be listed with the booking's start time, a multi-customer icon, the current booking capacity, and the service name. Individual bookings will have their start time, a single customer icon, the service name, registered pet(s), and associated customer. Series bookings will display with the booking start time, capacity, step number, and service name for that step.

The colour of bookings on your calendar will also communicate information about them. Use the default colours to easily track the status of your bookings, or configure custom colours to make different types of bookings easier to locate in your schedule. When viewing your calendar, keep in mind that bookings are always shown in their default colour in the month-view. Any custom colours will affect only the week and day-views. In the later subsections of this guide we will take a closer look at what the different default colours mean, and how you can set up custom colours for your different a variety of factors.

Boarding & Daycare

The Boarding & Daycare calendar allows you to get more in-depth information about your boarding bookings and an overview of the dogs currently at your facility for boarding and daycare. This view has three tabs, Calendar, In Facility, and Feed & Care.

Calendar

The Calendar tab of the Boarding & Daycare calendar displays a list of all existing boarding bookings. This view can be displayed weekly or monthly, with bookings organized by their assigned kennel. Each booking shows its check-in time on its start date and check-out time on its end date, as well as the names of the registered pet(s), the associated client, and the service booked.

Much like the main Calendar view, the colour of bookings on this tab will communicate information about them. Default colours make it easier to track the status of your bookings, while custom colours make it easier to differentiate between services or kennels. In the later subsections of this guide we will explore what the different default colours mean, and how you can set up custom colours for a variety of factors.

The buttons at the top-right of the boarding calendar allow you to switch back and forth between a monthly and weekly view.

Use the navigation options at the top-left corner of the calendar to adjust the displayed dates. Click the forward/backward arrows to navigate month by month or week by week, or select the pencil next to the listed date range to choose a specific month/week. When viewing a future or past date range, click the "This Month" or "Today" button to switch back to the current date.

In Facility

The In Facility tab of the Boarding & Daycare calendar provides an overview of all the pets currently in your facility as well as information on who is coming and going for boarding bookings.

Use the Checking In Today and Checking Out Today sections to get more information about boarding pets scheduled to arrive/leave each day. Every pet is listed with their name, photo, associated customer's name, any assigned pet tags, and arrival/departure time. This section includes only pets checking in/out for boarding bookings.

The buttons at the top of the Checking In Today and Checking Out Today sections can be used to filter the lists, allowing you to see all pets checking in, pets that are scheduled to arrive/leave but have not yet checked in/out, and pets that are scheduled to arrive/leave and have already been checked in/out.

These sections will always default to display the current date. Use the date selector options at the top of each section to view check in/check out lists for future or past dates. Click the back arrow to navigate back one day at a time, the forward arrow to navigate forward one day at a time, or click the displayed date to select a specific date from the calendar drop-down.

Selecting the grey "IN" button for a specific pet checks them in, selecting it again checks them out, and selecting it a third time resets their status. Each successful change in status will be marked by a green message box at the top right corner of your screen, confirming the update.

This feature can help you track the attendance of your bookings and gauge how many pets are still expected to arrive or leave for the day.

Note that each pet listed in the Checking In/Out Today sections will be listed with some additional details about their booking including their payment status, whether they have any available credits to use towards their booking, their type of registration (self-booked or manually booked by your team), and their add-ons.

Click the ellipses next to any pet's registration to open a drop-down menu with available actions including generating an invoice (if the booking has not yet been invoiced) and applying any available add-on(s).

The "In Facility" section at the right-hand side of this tab shows a list of pets in both boarding and daycare services at your facility. There are two available options for this view, "List Pets" and "Resource Summary". Use the buttons at the top-right of the section to navigate between the two.

The List Pets view shows a full list of pets that are currently checked into daycare and boarding bookings. Each pet is listed with their name, sex, vaccine status, the associated client name, the service for which they are booked, and any pet tags that have been assigned to them.

Pets checked into training, grooming, or other type service bookings will not be included on this list. The list will also not show pets that are registered for boarding/daycare and are not checked in/have already been checked out.

Counts on the Resource Summary view are divided into Boarding and Daycare subsections. Each section includes total counts of registered and checked-in pets at the top, and each kennel/room shows the associated number of pets currently checked in as well as the number registered there.

The counts under Daycare include pets registered/checked into daycare services only. Pets registered/checked into training, grooming, or other type services are excluded from these counts

Feed & Care

The Feed & Care tab of the Boarding & Daycare calendar provides a full list of feeding and medication instructions for dogs registered for boarding bookings, by date. Dogs are organized by the kennel/run to which their booking is assigned, with unassigned dogs at the bottom of the list.

Each dog is listed with their name, any assigned pet tags, AM and PM feeding instructions, and AM and PM medication instructions.

Use the drop-down at the top of the page to filter the list by specific kennel assignments, or to view a list of all boarding pets.

This tab will always default to display the current date. Use the date selector option at the top-right to view feeding/medication information for future or past dates. Click the back arrow to navigate back one day at a time, the forward arrow to navigate forward one day at a time, or click the displayed date to select a specific date from the calendar drop-down.

Pets with feeding/medication instructions are listed in the "Filled" section for their assigned kennel, while pets without instructions are listed under the "Empty" section.

Click any pet's name to open their profile page. Select the "Booking" button to open their booking's information page.

Click the "Kennel Card" button to view and print a copy of their kennel card.

This card includes the pet's name, photo, associated client name, client phone number (if any), the name of the service for which they are booked, their drop-off and pickup dates and times, their assigned kennel, feeding instructions, medication instructions, and any kennel card notes that may have been added.

If a pet has notes added to their kennel card, you can click their "Notes" button directly on the Feed & Care tab to quickly see the content of that note.

To make changes to any pet's feeding or medication instructions, or to add a note to their kennel card, navigate to their booking's information page.

Resource Calendar

The Resource Calendar view displays daily bookings organized by their assigned room and provider. Note that this page does not include any boarding bookings and always displays bookings in a daily view.

Much like the main Schedule view, the colour of bookings on your resources view will communicate information about them. Default colours make it easier to track the status of your bookings, while custom colours make it easier to differentiate between services. In the later subsections of this guide we will explore what the different default colours mean, and how you can set up custom colours for a variety of factors.

Use the options listed at the top of the Resources view to adjust the information displayed. Click the forward or backward arrows next to the listed date to navigate day by day, or click the date to select a specific day. Use the "Today" button to return to the current date and use the "Users" and "Rooms" buttons to jump directly to either of those views.

Booking List

The Booking List view displays all of your bookings as a list, rather than being displayed in a calendar format. Each booking is listed with the service name, date and time, assigned facility/location/room, booking state (i.e. booked/upcoming or completed), capacity/registrations, registered customers, price, and invoicing status. Note that this page does not include any boarding bookings.

Use the "Upcoming Bookings" and "Past Bookings" tabs to switch between your lists of future bookings and previous bookings.

Use the filters at the top of the page to adjust which bookings are listed. These options allow you to filter by facility/location, person/pet, service/series, or booking status/service category.

Note that bookings on the List view have no colours associated with them. That means that custom colours have no impact on this view.

Quick Check-in & Add-ons

The Quick Check-in page is accessible by clicking the orange "Quick Check-in / Add-ons" button found in the top menu bar on any of the schedule views.

Clicking that button opens a page with information on all pets registered for bookings on the listed date as well as any add-ons selected for registered pets.

This page will always default to the current date. Use the date selector at the top-left to switch the view to another date. Click the forward/back arrows to navigate one date at a time or click the date field to open a calendar drop-down from which a specific date can be selected.

When viewing the list for a past or future date, the "Today" button can be used to quickly return to the current date.

The options at the top-right corner of the page can be used to more easily locate a specific pet. Select the "Sort by" field to open a drop-down with the options for list sorting, Time (earliest to latest), Pet Name (alphabetical), Service Name (alphabetical), and Client Last Name (alphabetical). Use the search bar to search for a specific pet by their name or the associated client's name.

Beneath the date and filter options, the first section of the Quick Check-in & Add-ons page is labelled "Check-In Dogs". Here you will find a list of dogs to be checked in for bookings scheduled on the displayed date. The top of the section lists the number of pets currently registered compared to the total capacity (calculated based on your room and kennel capacities) as well as the number of pets checked in compared to the number registered.

These counts include pets that are registered/checked in for ongoing boarding bookings (i.e. boarding bookings that started on a previous date).

Beneath that is a full list of pets to be checked in. Pets are listed with their name, profile photo, gender, vaccine status, associated client name, the service for which they are registered, their assigned pet tags, and the start time for their booking. Each pet also has their own check-in/check-out button, beside which you will find icons indicating their payment status (paid, invoiced and unpaid, uninvoiced, etc.), their registration status (self-booked or booked by staff), and their add-ons. Select the booking listed under any pet's name to open that booking's information page.

Boarding pets are only included on this list if their boarding booking is scheduled to start on the displayed date. Pets in ongoing boarding bookings (i.e. boarding bookings that started on a previous date) will not be listed.

Click the check-in button to check pets in/out, click it again to check them back out. Selecting it a third time resets their status.

Hover your mouse over any of the listed icons for more detailed information.

The second section of the Quick Check-in & Add-ons page provides a more detailed list of the add-ons selected for pets registered on the chosen date. Each add-on shows the associated service, the name of the add-on, the booking check-in time, and the pet's name, and the associated client's name.

Pets that have multiple add-ons selected for their registration will appear on this list multiple times. Add-ons for boarding bookings display here only if the booking starts on the displayed date.


Booking Colours

The colour of bookings on your calendar can communicate information on a variety of different factors. In this section of the guide we will explore the default colours for bookings as well as the available custom colour options.

Default Colours

The default colours for calendar bookings can be used to provide you with a brief overview of the status of your bookings. All bookings, whether for group or individual services, may display in purple or green. A purple calendar entry indicates a booking that is upcoming (i.e. the assigned date and time are in the future).

A green calendar entry indicates a booking that has been completed (i.e. the assigned date and time have passed). For individual services, green also indicates that the booking has been paid (i.e. has an invoice associated with it that is Paid or No Charge).

Individual services may also have yellow calendar entries. This colour indicates that the booking has been completed (i.e. the assigned date and time have passed) but is not yet paid (i.e. no invoice has been generated or its invoice currently has a status of Draft, Unpaid, or Partially Paid).

When a booking is cancelled, it will appear on your calendar with the booking information crossed out. The colour of the cancelled booking will depend on the type of booking and its payment status prior to having been cancelled. Group bookings always turn grey when cancelled, regardless of payment status. In contrast, individual bookings will maintain the colour of their payment status prior to cancellation. Any bookings that were yet unpaid (regardless of whether their scheduled date and time is in the future or the past) will be yellow when cancelled. Bookings that were paid (again, regardless of their date/time) will be green when cancelled.

Custom Colours

You may also choose to set up custom colours for a variety of booking attributes. Since there are multiple factors that may impact the colour of bookings, it is important to note the hierarchy that determines the displayed booking colour is as follows:

Custom colours affect how service bookings display on the week and day-view of your main schedule, and do not impact the month-view. These colours also display for bookings on your Boarding calendar and Resources view.

Custom colour settings are available for a variety of booking attributes. Though the location of the colour setting varies depending on the attribute, the process for choosing a custom colour remains the same for each. To begin with, enable the "Custom Calendar Colour" toggle for the chosen attribute.

Once that toggle has been turned on (purple), a colour selection field will populate. Click the colour field (the small, black rectangle) to open a small pop-up.

This pop-up allows you to select the colour you want for the chosen attribute. Drag the small circle in the colour bar then select a colour from the gradient at the top of the pop-up, use the dropper tool to copy a colour from elsewhere, or enter values into the RGB fields to set the colour. Note that it can take a minute or two for any affected bookings on your calendar to update after saving your colour selection. The chosen colour will be previewed in the colour-selection field.

Once you have configured and saved your custom colours, the default colour scheme indicating the status of your bookings can still be seen both in the month view and a small bar at the left side of each booking in your week and day-view.

Primary Provider

Each user on your team can easily set a custom colour for themselves from their "Your Profile" page. This colour applies to any booking to which the user is assigned as primary provider and overrides all other applicable custom colours. To configure a custom colour for your user account, first click or hover your mouse over your profile photo at the bottom-left corner of any page in BusyPaws.

Then select "Your Profile" from the top of the account menu.

From there, simply locate the "Calendar colour preference" setting (found just beneath the user email field), switch the toggle on, and choose the colour.

Be sure to click the "Save Changes" button when you're done to finalize your selection.

Those with manager level access can edit the custom colours for other team members by selecting the gear icon at the bottom of the left-hand menu bar, then "Users" from the "Business Settings" section.

Room

Rooms and kennels may also be configured with custom colours. This colour applies to any booking assigned to the room/kennel and overrides almost all other applicable custom colours (except custom provider colour). To configure a custom colour for a room, start by clicking the gear icon at the bottom of the left-hand menu bar.

Then select "Rooms and Kennels" in the "Product Configuration" section.

Click the room/kennel's name where it is listed on your main Room/Kennel Management page.

From there, simply locate the "Calendar colour preference" setting (found just beneath the room capacity field), switch the toggle on, and choose the colour. Be sure to click the "Update" button after selecting a colour to properly save your changes.

This setting is also available when setting up new rooms/kennels.

Location

Specific colours can also be chosen for your custom locations. This colour applies to any booking assigned to the location and overrides almost all other applicable custom colours (except custom provider and room/kennel colours). To configure a custom colour for a location, start by clicking the gear icon at the bottom of the left-hand menu bar.

Then select "Locations" in the "Product Configuration" section.

Click the location's "Edit" button where it's listed on your main Locations page.

From there, simply locate the "Calendar colour preference" setting (found just beneath the room capacity field), switch the toggle on, and choose the colour. Be sure to click the "Update Location" button after selecting a colour to properly save your changes.

This setting is also available when setting up new locations.

Facility

Facilities may likewise be configured with custom colour settings. This colour applies to any booking assigned to the facility and overrides only service/series and default colours. To configure a custom colour for a facility, start by clicking the gear icon at the bottom of the left-hand menu bar.

Then select "Facilities" in the "Business Settings" section.

Click the "Edit" button where the facility is listed on your main Facilities page.

From there, simply locate the "Calendar colour preference" setting (found just beneath the room capacity field), switch the toggle on, and choose the colour. Be sure to click the "Update Facility" button after selecting a colour to properly save your changes.

Service/Series

Finally, custom colours can be chosen for your services and series. This colour applies to any service/series booking though the service-level setting is overridden by all other custom colour settings (primary provider, room/kennel, location, facility). Note that when a series has an assigned custom colour, that colour will override any colour assigned to the service from which the series is built.

To configure a custom colour for a service or series, start by opening the ellipses submenu and selecting "Services".

Select the service/series' name or its settings icon where it is listed on your main Services page.

From there, simply locate the "Custom calendar colour" setting (found under General Settings), switch the toggle on, and choose the colour. Note that changes to this setting for services/series save automatically.
