When a customer registers and pays for a service, their invoice generates a credit for that service. Within BusyPaws, that service credit is only be applicable to the one specific service. Depending on your cancellation/refund policy, you may however find yourself in a situation where a customer paid for one service but wishes now to book another.
If you would like to let your client use their credit towards a different service, you will need to adjust their credits manually. Start by navigating to the profile page for the customer. You can do this by locating them in your Customer Index or by entering their name into the search bar at the top of the page.
From the customer's profile page, locate the "Credits" section.
The "Available" tab of the Credits section lists all available credits on the client's profile (i.e. credits that can be used towards bookings).
Start by removing the original credits from the client's profile. To do this, click the "Edit" button at the top-right of the credits list.
Locate the credits you wish to remove and set their Remaining quantity to 0. This can be done by clicking the down arrow, or by typing "0" directly into the field. When done, click "Update Credits" to save your changes.
You're now ready to add the replacement credits to the customer's profile. Back on their credits list, click the "Add" button at the top of the credits list.
Set the "Choose Type" field to the service for which the client wishes to register, then set the number of credits and add an expiry (if desired). When you're ready, click "Save and Add Credits" to add the available credits to the customer's profile.
Your client now has the credits they need for their new booking! Navigate to the new booking's information page to apply their available service credits to their registration.
As an alternative, you can add the monetary value of the credits back as a Cash Credit on the customer's profile, rather than a specific service credit. This will allow them to use their credit towards anything, however it is important to keep in mind that cash credits function slightly differently. Cash credits can be used by clients during self-booking or applied by users as a manual payment on invoices. For more information on the manual payment process, check out the Applying Cash Credits to Invoices section of our guide on Creating & Using Customer Credits.
