This guide explores the options customers have to update their own profile information. The pages discussed are specifically intended for use by a business' clients, and are not generally used by their staff. The amount and type of information you collect from your customers can vary significantly depending on a lot of factors, including the type of business you run and the kinds of services each client chooses to book with you. Regardless of the kind of information however, it is important that you are able to keep it up to date. From address and email/phone number changes to new vaccinations and more, your customers will likely find themselves needing to provide additional information as time goes by. While you and your team always have the option of editing client and pet information manually, it is often easiest to allow your clients to make those updates themselves. In this guide we will take a look at the different ways your customers can update their own information, saving you time while keeping important records up to date.
Intake Forms
The most common (and most straightforward) way for your customers to add/update information on their profile is to complete and submit one or more of your intake forms. Clients can submit intake forms in a variety of ways:
Completing forms during the self-booking process
Receiving them via email
Following a form's direct link
Completing a form embedded into your website

Form submission notifications are sent to users only when the form is submitted through the direct link or website integration.
Whenever a form is completed, the form in full is saved to the customer's profile. In addition, any data attributes associated with fields on the form will be saved to the client's account. Customer attributes are stored on the customer's profile, while pet attributes are stored on the associated pet's profile. Since clients may have more than one pet linked to their account, the name of the pet included on the form indicates the profile on which the new attribute inputs will be stored. If any of the attributes have previously existing data, the new form submission will overwrite them.
The Private Client Portal
Customers may also log into their Private Client Portal account to update some of their basic information. Note that, in general, custom field data cannot be updated in this way. The only custom fields that can be updated through the Client Portal are vaccine fields. All other custom fields must be either edited manually by you and your team or have information provided through the submission of intake forms.
There is however, still plenty of information that your clients may wish to update themselves! In this section of the guide we will look at what information is available for clients to edit through their Client Portal account, and what the process looks like to make those updates.
Customer Information
Once logged into their Client Portal account, a customer can access their profile information by first clicking/hovering their mouse over their profile photo in the bottom-left corner of the Client Portal, then selecting "My Profile" from the menu.
This will take them to the Edit Your Profile page, where they can make updates to their picture, first name, last name, email, phone number, and address. When they are happy with their changes, clicking the "Update Profile" button at the bottom of the form saves the updates.
If a customer changes their email all communications sent to them will be sent to the updated address going forward. The same applies for an updated phone number and new SMS messages sent through BusyPaws. Additionally, clients will need to use the updated email when registering for new bookings through the Public Booking Portal, as their account (and therefore their previous forms and pet data) will now be linked to the new email instead.
Pet Information
Once logged into their Client Portal account, a customer can access their pet list by first clicking/hovering their mouse over their profile photo in the bottom-left corner of the Client Portal, then selecting "My Pets" from the menu.
This will take them to their Pets List. Each pet will be shown with their photo and name. Pets with no photo will display with the default pet photo. Pets with missing or expired/expiring vaccine information will be flagged with a yellow "Expiring Vaccines" or red "Missing Vaccine Information" tag below their name.
Adding a New Pet
To add a new pet to their account, the client can select the "Add New Pet" card located next to their existing pets on their Pets List page.
The New Pet page has fields to add the pet's photo, name, gender, type (dog or cat), breed, and birthday. The client can add information to any fields desired, then click the "Add Pet" button at the bottom of the form to add the new pet profile.
The only field that is required to submit this form is the Pet Name field. All other fields are optional.
Editing an Existing Pet
To edit an existing pet, the client should first select that pet where they are listed on their Pet List page.
Here they will be able to update the vaccine information saved to their pet's profile.
To edit the pet's basic information (name, birthday, etc.) they can select "Edit Profile" from the pet's profile page.
That will take them to the Edit Pet page for the selected pet. Much like the New Pet page, this form includes fields for the pet's photo, name, gender, type (dog or cat), breed, and birthday. Any fields that have previously been completed (either through form submission, previous addition by the client, or updates made by users) will display the existing information, while any fields without data will be blank. The client can make whatever updates they need to, then click the "Update Pet Profile" button to save the new field data to the pet's profile.
